Written to be read, not skimmed past. This explains what we collect, why we collect it, how long we keep it, and what you can ask us to do with it.
Effective: January 1, 2026 Last updated: January 1, 2026 Applies to: agency.i-ninja-llc.com and services provided by I Ninja LLC
This policy is being reviewed by legal counsel. It reflects how I Ninja LLC actually operates today, but it is not legal advice and may be updated once that review is complete. If anything here is unclear, email [email protected] and we will answer directly.
The full detail is below. If you only read one part, read this. It is accurate, not a simplification that contradicts the fine print.
We never sell your data. Not to advertisers, not to data brokers, not to anyone. We also do not share it for anyone else's marketing.
We do not record phone calls. AI voice produces a written summary of a call. No audio recording is made or stored.
Your customer data belongs to you. Contacts, documents, and conversations in your account are yours, and you can request an export before an account is deleted.
When you leave, your data goes with you. Closed accounts are deleted. We keep billing and purchase records because tax and accounting rules require it.
Text messages need permission. We only message people who agreed to hear from us, and every message has a way to stop them.
Ask us anything about your data. Email [email protected] to see it, correct it, or have it deleted.
I Ninja LLC is a limited liability company formed in California and based in Trinity County, California. We provide business technology services to companies across the United States, including AI employees, automation, messaging, scheduling, reviews, listings, and payment tools.
In this policy, "we" and "us" mean I Ninja LLC. "You" means a visitor to this website or a customer of our services.
We do not record phone calls. When AI voice handles a call, it produces a written summary covering who called, what they wanted, and what should happen next. No audio recording of the call is created or stored by us.
Website chat conversations are saved as transcripts, and a short summary may be generated from them. These are stored against the relevant contact record so your team can see the full history of a conversation.
Call summaries and chat transcripts may contain whatever the other person chose to say. We ask customers not to collect sensitive information through chat or AI voice unless their own setup is appropriate for it.
We use the information described above to:
We do not sell your personal information, and we do not share it with third parties for their own marketing.
This website uses Google Analytics to understand how visitors use the site, such as which pages are viewed and how people arrive. Google Analytics sets cookies in your browser and collects information including a general location and technical details about your device.
You can stop this by using your browser's cookie settings, or by installing the Google Analytics opt-out browser add-on provided by Google. Blocking cookies may affect how parts of the site behave.
We do not use this website's analytics data to build advertising profiles about you.
You are in control of analytics cookies without needing to ask us. Your browser settings let you block or delete cookies for this site, and Google publishes an opt-out browser add-on that stops Google Analytics from collecting anything at all. Blocking cookies may change how parts of this site behave.
We do not use advertising pixels or cross-site tracking tags on this website. If that ever changes, this policy will be updated before the change takes effect.
We send text messages and emails only to people who have given permission to receive them, for example by submitting a form, requesting information, booking an appointment, or becoming a customer.
You can stop messages at any time. Reply STOP to any text message, or use the unsubscribe link in any email. Opt-out requests are honored promptly. You may still receive essential service messages about an active account, such as a billing notice or an appointment confirmation.
Message and data rates may apply depending on your mobile plan. Message frequency varies.
We use outside companies to run parts of our business. They only receive what they need to perform their work for us, and they are not permitted to use it for their own purposes. These include:
About security certifications. The underlying platform that our services are built on maintains SOC 2 compliance. That certification belongs to the platform provider rather than to I Ninja LLC, and we describe it that way deliberately. HIPAA-capable configurations may be available through that platform for customers who need them. If HIPAA applies to your business, tell us before you sign up so we can confirm what is and is not possible for your situation.
We may also disclose information if required by law, such as in response to a valid legal request, or to protect the rights, safety, or property of I Ninja LLC or others.
If you are a customer, your account will contain information about your customers: contacts, conversations, appointments, documents, and similar records.
That data belongs to you. We hold and process it on your behalf so the services work. We do not use one customer's data for another customer, and we do not reuse the workflows or messaging we build for you in another client's account.
You are responsible for collecting that information lawfully, for having permission to contact the people in your account, and for telling your own customers how you handle their information.
When an account is closed, it is deleted. We do not keep customer account data after someone stops being a client.
Before deletion you may request an export of your data, including contacts, documents, and your messaging and workflow documentation. Ask for this before the account closes, because once it is deleted we cannot recover it.
We retain records of previous purchases and billing, because tax, accounting, and legal obligations require it. These records are kept for as long as those obligations apply.
Website analytics data is retained according to the retention settings in Google Analytics.
We take reasonable steps to protect information, and the platform our services run on maintains its own security program, including SOC 2 compliance held by that platform provider.
No method of transmitting or storing information is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your information, we will act on it and notify you where the law requires.
If a security breach affects your personal information, we will notify you as required by law. Under California law that means notifying affected residents in the most expedient time possible and without unreasonable delay, allowing for the time legitimately needed to determine the scope of the breach and restore the integrity of the affected systems. Other states where you may live can impose their own deadlines, and we will follow whichever applies to you.
You can ask us to:
Send requests to [email protected]. We may need to verify your identity before acting, so that nobody else can obtain or delete your information.
We will not treat you differently for exercising these rights. Asking about your data will not affect the service you receive.
California residents. California law gives residents additional rights over personal information, including the right to know what is collected, to request deletion, and to opt out of the sale or sharing of personal information. We do not sell or share personal information, so there is nothing to opt out of, but the other rights are available through the same email address above.
Our services are built for businesses, and this website is not directed to children under 13. We do not knowingly collect personal information from anyone under 13. If you believe a child under 13 has given us information, email [email protected] and we will delete it.
We recognize that some young people run real businesses, sometimes alongside a parent or guardian. If someone under 18 is involved in an account, a parent or guardian should set it up, agree to the terms, and stay responsible for how it is used.
We may update this policy as our services or the law change. When we do, we will change the "Last updated" date at the top of this page. If a change materially affects how we handle your information, we will take reasonable steps to tell you directly.
